Most companies’ real “management system” looks like this: the customer list is in an Excel file, and nobody is sure who has the latest version.   • Entering the same information over and over. An order travels by hand from email to Excel, from Excel to the invoice. Every copy is a chance for an error.

  • Knowledge tied to individuals. Only the person running the WhatsApp group knows the state of leave requests. When they go on holiday, the process goes with them.
  • Reporting becoming a job in itself. “What did we sell this month?” turns into half a day of copy-paste.
  • No audit trail. Who changed what, and when? Excel and WhatsApp can’t answer — in a dispute, you have no record.

  3. Make permissions explicit. Who can view, who can edit, who approves? Set up role-based access from the start and the chaos doesn’t come back.
  4. Train the team inside the flow. Skip the training marathon; have the team do their real work in the new environment from week one. That’s the only way habits stick.
  5. Once one process settles, add the next. A new process every two weeks is far healthier than one “big migration” every six months.
