Why is leave tracking still such a headache? And how it becomes a 5-minute job

“Who’s off, when, and for how many days?” — on paper, the simplest question in the world. Yet in many companies the leave process works like this: the employee messages their manager on WhatsApp, the manager says “fine”, and nobody writes it down anywhere. At the end of the month, payroll turns detective: messages are scrolled, memories are consulted, Excel is opened.

The result: two key people off in the same week, balances that don’t add up, and “I already used that leave last month” arguments.

Why does the process break so easily?

The difficulty of leave tracking isn’t in any single step — it’s in the scatter:

  • Requests arrive through one channel, approvals happen in another. Asked on WhatsApp, approved verbally, never written into Excel.
  • Balances are calculated by hand. Annual entitlement, carried-over days, the difference between annual and personal leave… every calculation is a chance for error.
  • There’s no calendar visibility. The manager approves without seeing who else on the team is off; conflicts surface after the approval.
  • There’s no record. When a dispute arises, all you have is chat history and memory. Yet leave records are something employment law expects the employer to be able to prove.

What does a good leave process look like?

Four traits are enough:

  1. One door: Wherever a request comes from, it lands in a single system; no request gets “lost in WhatsApp”.
  2. Automatic balances: Entitled, used and remaining days are calculated by the system; nobody counts by hand.
  3. Informed approval: The approval screen shows the manager conflicts and the team calendar; the decision is made with full context.
  4. Records by default: Every request, approval and rejection is stored with a timestamp — ready for payroll and for any audit.

With these four in place, leave tracking stops being a headache and becomes a few minutes of review per month.

How long does the setup take?
